Housing & Dining Services

Housing & Dining Services ( HDS ) is the largest department on campus with 450 full-time staff and 1,700 hourly and student staff, and nearly 8,300 students live on campus. HDS is responsible for the management, finance, administration, and program development of all University housing facilities, including residence halls, university apartments, and Mountain Campus.

Position Summary

The HR Coordinator/Payroll Specialist will provide payroll and HR support for Housing & Dining Services. This position is responsible for ensuring the accuracy of all HR information in Oracle for HDS employees and the following Human Resources Processes: processing Leave Without Pay, Worker’s Comp, Family Medical Leave, and New Hire information and terminations in Oracle for Administrative Professionals, State Classified, Grad Students, Student Hourlies and Non-Student Hourlies. This position will also provide Administrative Support to HDS Human Resources as needed. This position has an abiding commitment to serving the diverse needs of the University community, the active promotion of an equitable and inclusive environment, and the development and enhancement of collaborative relationships

Required Job Qualifications

  • Bachelor’s degree in human resources, business or related field from an accredited university.

  • 2 years of experience with Payroll or HR processes

  • 1 year of experience in a direct customer service role aiding with problem solving and connecting customers to resources.

  • Proficiency utilizing MS Word, MS Excel, and a variety of computer programs to perform record keeping, data entry and other administrative tasks.

  • Experience working with sensitive information and adhering to strict confidentiality guidelines.

Preferred Job Qualifications

  • Intermediate skill level with Excel

  • Bilingual

  • Demonstrated attention to detail

Duty/Responsibility

  • Responsible for all payroll processes within HDS for a staff of over 1,700 employees.

  • Meet with all new employee types to gather necessary paperwork for employment such as the I-9 Employment Eligibility Verification and record data in Oracle.

  • Generate, process, and verify pay rate, title and status changes for all employee types in Oracle. Process all promotions, terminations, retirements, and transfers for all employee types.

  • Ensure proper account number is applied to each employee for proper labor distribution accounting for all Housing and Dining Service departments.

  • Analyze state and university personnel rules and regulations and their impact on the HDS department.

  • Maintain confidential and accurate personnel records, files, and reports for all HDS employees.

  • Ensure that all deadlines are met.

Duty/Responsibility

Record, balance, audit and report sick leave and annual leave earned and used. Report leave usage to the University Records Department and to supervisors and employees within the department.

  • Assist all employees in answering HR-related questions and completing forms.

  • Maintain current employee data.

  • Monitor/determine eligibility of international employees.

  • Create and monitor various HR and Payroll reports.

  • Enter bi-weekly payroll in Oracle.

  • Create time sheets for quick pays.

  • Investigate payroll questions.

  • Process labor redistributions.

  • Answer questions and solve problems with the electronic time clock system.

  • Validate hours in TCP to make sure they have the correct amount of hours.

  • Cross train other employees as needed.

Duty/Responsibility

  • Manage State Classified, Administrative Professional, mid-year, and annual performance management.

  • Assists with the FMLA administration process as needed and can answer questions concerning all leave types.

  • Provide administrative support to the Manager of HDS Human Resources and HDS Payroll Supervisor.

  • Point of contact for the department for customer service, communicating effectively through written, face-to-face, telephone, and e-mail; additionally, this position is required to communicate effectively with all levels of internal and external customers/campus partners.

  • Responding to communications and feedback on behalf of the department, properly representing Housing and Dining Services while professionally addressing needs.

  • Provide oversight and technical assistance with Oracle and TimeClock Plus.

  • Other Administrative Support duties as assigned
